Optimizing Legal Workflow Efficiency through Cloud-Native Storage Transformation

Marketing to court jurisdictions and private law firms, our client provides a SaaS-based platform for capturing and providing transcriptions of recorded legal proceedings. The platform comes with a Drupal-based workflow management tool to manage and track the process of transcribing audio, proofreading the transcriptions and delivering them to the customer. Reporting and transcription teams regularly upload legal proceeding files through the application’s front end, and customers download them on demand.

However, the system struggled with rendering heavy files, diminishing performance and the user experience. To overcome capacity constraints and ensure a smooth experience, the company approached Material to build a robust cloud-based infrastructure capable of efficiently handling the processing and retrieval of these heavy files.

  • Identified the need for a cloud-native server capable of efficiently handling all file-related requests and seamlessly rendering them on the front end

  • Designed and implemented a solution and rolled it out in iterative stages, using Amazon Web Services (AWS) for optimal performance and reliability

  • Integrated Amazon S3 for its scalability, security and reliable data availability, ensuring efficient file storage and retrieval without capacity constraints

  • Developed a queueing-enabled microservice to organize the files, zip them in bundles for downloads and optimize the storage in S3

  • Structured storage workflows to efficiently process large files, reducing load on the application layer and improving overall system performance

  • Enabled dynamic scaling with S3, allowing the client to adjust space usage based on demand, without minimum commitments and with pay-as-you-go pricing for cost-effective performance

Delivered in just seven weeks, the successful integration of the client’s Drupal application with Amazon S3 and AWS cloud led to a 40% reduction in costs. At the same time, the optimized file processing led to a 30%-40% increase in operational efficiency. This transformation allowed the client’s application to efficiently manage a large volume of files, making them accessible anytime and anywhere for its customers.
